Set Up Entourage for Mac OS X for IMAP or POP Access to Your E-Mail Account

You can connect Microsoft Entourage for Mac OS X to your e-mail account using POP3 or IMAP4 connectivity. This procedure applies to Entourage 2004 and Entourage 2008.

If you're running Entourage 2008, Web Services Edition, you don't use the steps in this topic to connect to your account. Entourage 2008 Web Services Edition is a free update to Entourage 2008. For more information see the "What if I want to know more?" section at the end of this topic.

How do I set up Entourage for access to my e-mail account?

  1. In Entourage for Mac, on the Tools menu, click Accounts > New.

  2. In the New Account window, under Add new mail account, select IMAP or POP from the drop-down menu next to Account type, and then click OK. You might want to use IMAP because it supports more features.

  3. On the Edit Account page, do the following:
    Under Account name, type a name for this account.
    Under Personal Information:

    1. Next to Name, enter the name you want people to see when you send them e-mail.
    2. Next to E-mail address, enter your full e-mail address, for example, tony@contoso.com.
      Under Receiving mail:
    3. Next to Account ID, enter your full e-mail address.
    4. If you're using IMAP4, next to IMAP server enter the IMAP4 server name. If you're using POP3, under POP server, enter the POP3 server name. For information about how to find your incoming (POP3 or IMAP4) server name, see How do I find the server settings? later in this topic.
    5. Next to Password, enter your password. If you want to save your password, you can select the check box next to Save password in my Mac OS keychain.
    6. Click Click here for advanced receiving options.
    7. In the pop-up window that appears, select the check box next to This IMAP service requires a secure connection (SSL), and then click the close button in the upper-left corner of the pop-up window.
      Under Sending mail:
    8. Next to SMTP server, enter the SMTP server name. For information about how to find your outgoing (SMTP) server name, see How do I find the server settings? later in this topic.
    9. Click Click here for advanced sending options. In the pop-up window that appears, do the following:
      Select the check box next to SMTP service requires secure connection (SSL).
      Select the check box next to SMTP server requires authentication.
      Select the Use same settings as receiving mail server option, and then click the close button in the upper-left corner of the pop-up window.
  4. On the Options page, select the options you want. If you're using IMAP4, you can also select options on the Advanced page.

    Warning

    If you're using POP3, on the Options page, under Server options, select Leave a copy of each message on the server if you want to keep a copy of your messages on the server. If you don't do this, all messages will be removed from the server and stored locally on your computer.

  5. In the Edit Account window, click OK to save your settings.

  6. Close the Accounts dialog box.

How do I find the server settings?

Before you set up a POP3 or IMAP4 e-mail program, you need to look up your own POP3, IMAP4, and SMTP server settings.

To find your server settings, sign in to your e-mail account using Outlook Web App. After you sign in, click Options > See All Options > Account > My Account > Settings for POP, IMAP, and SMTP access. The POP3, IMAP4, and SMTP server name and other settings you may need to enter are listed on the Protocol Settings page under POP setting or IMAP setting, and SMTP setting.

Note

If you see Not available next to POP setting, IMAP setting, and SMTP setting, your account may not be set up to use POP or IMAP e-mail programs. For more information, contact the person who manages your e-mail account.

What else do I need to know?

  • If you don't know whether to use POP3 or IMAP4, consider using IMAP4 because it supports more features.
  • If your e-mail account is the type that requires registration, you must register it the first time you sign in to Outlook Web App. Connecting to your e-mail account through POP3 or IMAP4 will fail if you haven't registered your account through Outlook Web App. After you sign in to your account, sign out. Then try to connect using your POP3 or IMAP4 program.
