How to: Update, unpublish, and track your app metrics

apps for Office and SharePoint

Learn how you can update your apps for Office and apps for SharePoint, unpublish (remove) them from the Office Store listings, delete them, or track how well they are doing using metrics in the Seller Dashboard.

After you publish your apps in the Seller Dashboard, you may want to update them, unpublish (remove) them from store listings, delete them, or track how well they are doing.

  • Update your apps: If you want to update your apps, you can edit them in the Seller Dashboard. After you edit and submit them, they will go through an approval process.

  • Remove your app from store listings: If an app is listed in the Office Store and you want to remove your app from those listings, you can unpublish it. When you unpublish an app, it removes your app from the Office Store listings within a few days.

  • Delete your app from the Seller Dashboard: In time, you may have some apps that are no longer relevant or required. You can delete draft apps or apps that have been unpublished.

  • Track your apps with metrics: After your apps are approved and listed in the store, you can track how well your apps are doing by using metrics. You might want to track customer ratings and reviews, browser hits, and trial downloads.

To be able to update, unpublish, delete and track your apps with metrics in the Seller Dashboard, you must have already added an app to the Seller Dashboard. For more information, see How to: Submit apps to the Office Store.

You can edit your saved draft apps and your approved apps. You cannot edit an app that has been submitted for approval and still has a pending approval status. If you edit an approved app and submit it, the app will go through the approval process again. For more information, see the section Understand the app approval process.

Edit your apps when:

  • You want to improve your Office Store listing.

  • Your app has a changes requested status in the Seller Dashboard. On the APPS tab, under manage, your app status appears under the app name. For more details, you can choose the app, and on the app summary page, choose View the app report for details about the recommended changes.

    For more information, see Validation policies for the apps submitted to the Office Store (version 1.5).

  • You are submitting apps, and you want to add multiple languages. The Seller Dashboard currently accepts English, French, German, Japanese, and Spanish.

  • You have an OAuth client ID and client secret associated with your app, and your client secret is expiring. For more information, see How to: Create client IDs and secrets in the Microsoft Seller Dashboard.

  • You have any other situations where you need to make changes to your app.

To edit your app, follow these steps:

  1. Sign in to the Seller Dashboard with your Microsoft account.

  2. On the APPS tab, under manage, choose the app you want to edit.

  3. On the app summary page, if you want to edit a draft app, choose EDIT DRAFT. If you are editing an approved app, choose EDIT LISTING.

    Note Note

    If you edit an approved app and submit it, it will go through the approval process again. For more information, see the section Understand the app approval process.

  4. In the EDIT APP wizard, make the changes to your app.

    Note Note

    If you are adding another language, choose NEXT until you reach the details page of the last language you added, and then choose ADD A LANGUAGE. You won’t see the ADD A LANGUAGE button until you are on the last details page.

  5. After you make your changes, choose SAVE AS DRAFT if you are not ready to submit your app, or choose SUBMIT FOR APPROVAL to submit it.

    Note Note

    You can submit your free apps for approval only after your Seller Dashboard account is approved. You can submit apps for purchase once your account is approved and your payout and tax information are validated. For more information, see the Add payout and tax information section in How to: Create or edit a seller account and add payout information.

Understand the app approval process

You can submit apps for approval after your account is approved. You can make changes to your app at any point before you submit it for approval. During the approval process, you cannot make changes to your app. If you make changes to an approved app, it must go through the approval process again.

Some of the requirements for approval are:

  • Your app must be free of viruses. If you need virus detection software, see the Microsoft Safety & Security Center.

  • Your app must not contain any inadmissible or offensive material.

  • Your app must be stable and functional.

  • Any material that you associate with your app, such as descriptions and support documentation, must be accurate. This associated material must use correct spelling, capitalization, punctuation, and grammar.

  • If your app supports multiple languages, you must add localized metadata for each language. Apps with web services and functionality that support these additional languages provide the best customer experience. You must also provide app descriptions in the languages your app is localized to. The Seller Dashboard currently accepts English, French, German, Japanese, and Spanish.

Note Note

Check your app approval status

When the validation process is complete, you will receive an email message telling you that either your app was approved or your app needs changes to be approved. You can also follow these steps to check the status in the Seller Dashboard:

  1. Sign in to the Seller Dashboard with your Microsoft account.

  2. On the APPS tab, under manage, your app status appears under the app name.

    • If the status is pending approval, your app is still being verified. When the status is pending approval, you can’t edit your app.

    • If the status is approved, your app is approved to be listed in the appropriate store.

      Note Note

      Once your app is approved in the Seller Dashboard, there may be a delay before it is published in the store. After approval, the app typically appears in the Office Store within 24 hours. If you have questions or issues with the approval process, see Support Resources.

    • If the status is changes requested, your app needs changes in order to be approved. Choose the app, and then on the app summary page, choose View the app report for details about the recommended changes.

Here are some situations in which you may want to remove your app from store listings:

  • You have developed a new version of your app, and you no longer want to offer the previous version.

  • You have an issue with your app, and you want to remove your app from store listings until you have resolved the issue.

Note Note

When you unpublish an app, the system removes the app from store listings within a few days.

To unpublish an app, follow these steps:

  1. Sign in to the Seller Dashboard with your Microsoft account.

  2. On the APPS tab, under manage, choose the app you want to unpublish.

  3. On the app summary page, choose UNPUBLISH.

You can delete draft apps or apps that have been unpublished. Any app that is published in a store or that has a pending approval status in the Seller Dashboard cannot be deleted. For a published app, you must unpublish it first, and then you can delete it. See the previous section to learn how to unpublish your app.

Important note Important
  • Once you delete an app, you can no longer see, edit, or publish it.

  • If there is a client ID associated with the app, it will also be deleted.

To delete an app, follow these steps:

  1. Sign in to the Seller Dashboard with your Microsoft account.

  2. On the APPS tab, under manage, choose the app you want to delete.

  3. On the app summary page, choose DELETE.

    Note Note

    If your app is published, you will not see the DELETE button. After you unpublish your app, you will see the DELETE button.

  4. To confirm that you want to delete your app, choose YES, DELETE THIS APP.

After your apps are approved and listed in the Office Store, you can track how well your apps are doing. On the metrics page, you can:

  • View up to four weeks of data.

    Note Note
    • It may take a few days for the latest values to populate on the metrics page.

    • The most recent week of data may be a partial week through the UPDATED date on the metrics page.

  • Download the data if you want to keep historical information about your app.

  • View other information, including customer ratings and reviews, browser hits, trial downloads and purchases.

Information about metrics

The metrics page includes the following information:

Note Note

All purchase-related information reflects the initial purchase. It may not take into account a purchase transaction that does not complete, is cancelled, is refunded, or is declined. Because of this, it may not reflect the total app revenue.

  • Browser hits: Number of times your app’s listing has been viewed in the Office Store.

  • Downloads: Number of times the app has been downloaded from the Office Store.

  • Trial downloads: Number of times the app has been acquired for free from the Office Store.

  • Trial conversions: Number of times a customer who acquired a trial of your app has purchased your app.

  • Purchased seats: Number of seats that have been purchased for your app.

  • Purchased site licenses: Number of site licenses that have been purchased for your app.

Additional information for apps for SharePoint

The metrics page includes the following app usage information for apps for SharePoint installed on SharePoint 2013:

Note Note

If the app for SharePoint is installed on-premises, the app usage information is not available.

  • Installs: Number of install attempts.

  • Launches: Number of times the app has been started.

  • Daily unique users: Sum of daily unique users during the time period of the graph you are viewing.

  • Uninstalls: Number of uninstall attempts.

  • Failed installs: Number of failed installs, including retries.

  • Runtime errors: Number of errors that SharePoint 2013 and the app logged while the app is being used. This also includes errors logged through the LogCustomAppError API and the LogCustomRemoteAppError API.

  • Failed upgrades: Number of failed upgrades, including retries.

View metrics for your apps

You can view metrics for your apps in the Seller Dashboard, and you can also view your sales.

To view metrics for your apps, follow these steps:

  1. Sign in to the Seller Dashboard with your Microsoft account.

  2. On the APPS tab, choose metrics.

  3. Choose an app to see more details about the metrics for that app.

    Note Note

    You can only see metrics for approved apps that are listed in the Office Store. If you don’t have any approved apps yet, you won’t see any metrics.

To view the sales that your apps generated on a per country (or region) per currency basis, follow these steps:

  1. Sign in to the Seller Dashboard with your Microsoft account.

  2. On the APPS tab, choose metrics.

  3. Choose View Sales and Tax Data to open the Sales Report.

Important note Important

This report displays only the total transaction revenue. It does not take into account any of the following, if they apply to the revenue for your app: taxes withheld, bank charges, currency conversion charges, or the share of the revenue from your app that is paid to Microsoft.
